Creating a QTime Schedule
To create a QTime schedule:
- Go to Time & Attendance > Home Page
- Choose one of the following:
- Select New QTime schedule to create a schedule for today
- Click on a date in the Shifts calendar to create a schedule for a past, current, or future day
Add schedule details:
- Location
- Cost Centre
- Start & End Time (auto-filled if set in Staff Permissions)
- Break Time (if applicable)
Add a QTime Entry
- Client: Search and select a client
- Line Item: Select from the client’s finalised NDIS Schedule of Support, or QTime Template (if applicable)
- Activity Type: Select from your pre-configured activity types (e.g. Travel, Case Notes)
- Claim Type: Choose from available service types:
- Direct service
- Cancellation
- Non face-to-face
- Provider travel
- NDIA-required report
- Telehealth
- Irregular SIL supports
- Billing Option:
- Billable
- Billable (set fee)
- Non-billable
- Notes: Add descriptive notes (up to 7000 characters). These appear in the client’s CRM record under the Time & Attendance filter and can be included on invoices.
- Attendance Type:
- Attended
- Attendance not required
- Did not attend (with or without notice). If applicable, select a cancellation reason.
- Link to Project/Task (optional):
- Notes and time will be linked to the selected project or task.
- Tasks may pre-populate based on the project selected.
- To restrict notes to a specific team, use a permission-restricted project.
Click Save once complete.
